
How do I create a data room from Gmail & Google Drive?

This guide explains how to create and manage a data room directly from Gmail or Google Drive using the Orangedox Google Workspace add-on.
Select the Side Panel App on Gmail & Google Drive
Open the Orangedox add-on
In Gmail or Google Drive, locate the right-hand sidebar and select the Orangedox icon.
This opens the Orangedox side panel, where you can access actions like creating and managing data rooms without leaving your inbox or drive.
If you're opening it for the first time, you’ll be prompted to log in with your Google account.
Creating a Data Room
1. Select “Create Room”
In the side panel, click Create Room to begin setting up your data room.

2. Enter a Data Room Title
Add a clear and descriptive title for your data room, this is the name participants will see when accessing your data room.
3. Choose a Google Drive Folder
Select the folder you want to use as your data room source. All files and subfolders will be automatically included and will stay synced with Google Drive.
4. Configure Security Options
Set your preferred security options, such as
- Disable file downloads
- Set Dynamic Watermarking (available our Teams plans)
- Add NDA Gating
- Enable Access Requests
- Set Device Expiry
- Limit the number of devices per participant

5. Choose a Delivery Method
Select how participants will receive access
- Automated Email - Orangedox sends access emails automatically
- Manual Email - You receive unique links to send yourself
Manage Data Rooms from Gmail
Access your Data Rooms
In the side panel, select Manage Data Rooms to view all your existing rooms.
Manage and Update
From here, you can
- Enable/Disable the entire data room
- Add or remove participants
- Toggle participant access
- Resend access emails or refresh links
- Send messages to all participants
- View high-level engagement metrics
Select a specific data room and click Manage to access more detailed controls and insights.
