This guide explains how to install and use the Orangedox Google Workspace add-on, so you can create and manage data rooms directly from Google Drive or Gmail without switching tabs.

Install the Orangedox Google Workspace Add-On

1. Install from the Google Workspace Marketplace

If you don’t already have the integration installed, download the Orangedox add-on from the Google Workspace Marketplace.

2. Open the Orangedox add-on

Once installed, open either Google Drive or Gmail.

Select the Orangedox icon on the right-hand sidebar to launch the add-on.

3. Log in with your Google Account

When opening the add-on for the first time, you’ll be prompted to log in using your Google account.

After logging in, you’ll be able to start creating and managing data rooms directly within your Gmail or Gdrive.

Notifications

Orangedox provides real-time updates to help you track activity in your data rooms.

You’ll receive

  1. In-app notifications within the full Orangedox app
  2. Email notifications when participants access your data rooms and shared files

These notifications help you stay on top of engagement, especially during time-sensitive processes like fundraising or due diligence.

View Metrics

Access metrics

Open the Orangedox add-on and select Manage Data Rooms, then locate the data room you want to review.

You’ll see high-level metrics such as

  1. Number of participants who accessed the room
  2. Total previews
  3. Total downloads

View detailed insights

Select Details to access deeper analytics, including

  1. Engagement percentage per participant
  2. Page-by-page view time (for documents)
  3. Download and preview activity

Update Data Room Options

From the add-on, you can easily manage and update your data room settings.

Select Manage Data Rooms, then choose the data room you want to edit.

From here, you can

  1. Edit the data room title or description
  2. Update security settings (e.g. disable downloads, expiry rules)
  3. Manage participants and access
  4. Toggle email notifications on or off
  5. View metrics or open the source Google Drive folder

Disable a Data Room

Use the toggle next to the data room name to disable access for all participants.

Disabled data rooms can be re-enabled at any time.

Access the Full Orangedox App

While the Google Workspace add-on covers the core workflow, some advanced features are only available in the full Orangedox app.

To access it, select the option to open the full app from within the add-on.

In the full app, you can

  1. Apply custom branding
  2. View detailed recent activity per participant
  3. Access the trending activity dashboard
  4. Use advanced data room controls
  5. Manage notifications in more detail
