This guide explains how to track who has viewed and accessed your shared files in Orangedox and how they’ve engaged with your documents. Orangedox provides detailed document analytics so you can understand recipient activity, monitor engagement, and follow up at the right time, especially useful for fundraising, and secure document sharing workflows.

Accessing Shared File Metrics

You can access all analytics for your shared files directly from the Shared Files app in your Orangedox dashboard.

Go to the Shared Files app and select the file or folder you want to review. From there, you can view both high-level and detailed engagement metrics.

Summary Metrics

Each shared file includes summary metrics that give you a quick snapshot of overall activity and engagement in the last 7 days. These are visible at the top of your shared files dashboard.

Summary metrics include

  1. Active Shared Files - Number of shared files with recent activity
  2. Active Recipients - Number of recipients who have accessed your shared files
  3. Document Views - Total number of document views across shared files

Each metric also shows recent trends (increase or decrease over time), helping you quickly understand engagement changes.

This view is designed to give you a fast overview so you can immediately see

  1. Whether shared files are active
  2. If recipients are engaged with my shared documents
  3. Has engagement changed recently

Recent Activity

You can view real-time engagement across all shared files without opening each one individually.

To access this, click on a recent action in the Recent Activity section or use the bell icon in the top-right corner of your dashboard.

This opens the Recent Activity panel, showing a live feed of actions across your Orangedox account including

  1. Shared files
  2. Data rooms
  3. NDAs

Each activity item shows key actions such as

  1. When a recipient accessed a shared file
  2. When a file package was viewed
  3. When an NDA was signed

You can click any activity item to open the detailed analytics view for that specific shared file or recipient.

This is useful for

  1. Monitoring engagement in real time
  2. Identifying active recipients quickly
  3. Jumping directly into detailed analytics without searching

High-level Metrics

To view high-level engagement for a specific shared file

  1. Go to the Shared Files app
  2. Locate your shared file or folder
  3. View the metrics shown next to it

These metrics include

  1. NDA acceptance status (if enabled)
  2. Total document previews
  3. Total downloads
  4. Total number of recipients who accessed the file

These figures represent combined activity across all recipients, helping you quickly gauge overall interest and engagement.

To see more detailed insights, click on the summary metrics to open the detailed analytics view.

Detailed Analytics View

Clicking on a shared file’s summary metrics opens the detailed analytics view.

Here you can see recipient-level engagement, including

  1. NDA status (signed or not signed)
  2. Total previews per recipient
  3. Total downloads per recipient
  4. Number of devices used to access the file

This view allows you to quickly compare engagement across recipients and identify who is actively reviewing your content.From here, you can select a recipient to drill down further into session-level activity.

Per Session Activity

Each recipient’s activity is broken down into individual sessions, showing exactly how they interacted with your shared files each time they accessed them.

Per session data includes

  1. Date and time of access
  2. IP address used
  3. Number of documents previewed during the session
  4. Number of downloads during the session
  5. Whether the NDA was accepted in that session (if applicable)

This allows you to understand how many times each recipient viewed your shared documents including how engaged they were during each session.

Page by Page Metrics

Orangedox allows you to track engagement at a document level, including page-by-page activity for supported file types such as PDFs.

Within the detailed analytics view, you can select a document to see

  1. Average time spent on each page
  2. Most viewed pages
  3. When the document was accessed or downloaded

For audio or video files, you can also see

  1. Viewing or listening time by segment

This helps you understand exactly which sections of your content are getting the most attention.

Notifications

You can receive real-time notifications when recipients access your shared files.

To enable notifications

  1. Open your shared file settings
  2. Go to the Options tab
  3. Enable Email Notifications

Once enabled, you’ll receive alerts when

  1. A recipient opens a shared file
  2. A document is viewed or interacted with

These notifications help you stay on top of engagement without needing to constantly open the app.
