Introducing the Orangedox Teams feature, which makes it easy to manage your company’s users, licenses, and document access, all in one place. Whether you’re inviting new members, assigning manager roles, or removing users, Orangedox Teams gives you complete control over how your organization shares and tracks documents securely.

Why Use Orangedox Teams?

The Orangedox Teams feature helps organizations stay organized and secure while maintaining control over who has access to sensitive files. With Orangedox Teams, you can:

Manage Users:

  1. Add and remove users in seconds. If you’re just getting started with Orangedox, check out our guide to setting up your first data room to understand how teams and data rooms connect across your organization.

Permissions:

  1. Manage permissions across multiple departments. This ensures every document stays secure - especially when you’re sharing and tracking Google Drive files within Orangedox.

Data Protection

  1. Protect your data with role-based access. Admins can easily manage who views or downloads files, ensuring your secure document sharing practices remain compliant and transparent.

Tracking:

  1. Track file engagement and viewer activity in real time. These analytics become especially valuable when pitching to investors or performing due diligence, where document insights play a key role in influencing decision-making.

Collaboration:

  1. Collaborate securely across your entire organization. Orangedox makes it simple for teams - from startups to enterprises - to work together with confidence, knowing all document access is easily manageable.

Adding a New Team Member

Follow these steps to add new members to your Orangedox team:

Open the ‘Team’ App

From your Orangedox dashboard, select the Team app.

Click ‘Add Team Member’

Choose the Add Team Member option.

Enter the Team Member’s Email Address

Type in the email address of the new team member you’d like to invite.

The number of team members you can add depends on your current Orangedox plan.

Business Plan Note:

New members automatically receive a Manager License by default. This setting cannot be changed.

Team Invite & Confirmation

The invited team member will receive an email invitation to join your Orangedox account.

They can choose to accept or reject the invite, and you’ll get a notification once they do.

Removing a Team Member

When a team member leaves your company or no longer needs access, you can safely remove them from your Orangedox account:

  1. Click the three dots next to their name.
  2. Select Remove.

Important:

Removing a team member permanently deletes their Orangedox account, including:

  1. All their data rooms
  2. All shared and published files they own
  3. All file tracking metrics and analytics

Once removed, their license is automatically freed up for reassignment to another team member.

Manager Access

Managers in Orangedox have full access and visibility to your organization’s data rooms and shared links.

They can:

  1. View all data rooms, shared files, and published content
  2. Manage access permissions
  3. Oversee file performance analytics

Toggling Manager View

Managers can easily switch between their personal view and the Manager View to access all team data.

This feature is ideal for admins or supervisors who need to oversee multiple users’ activity.

Unassigning Manager Access

If you need to revoke a member’s Manager permissions:

  1. Go to the Team app.
  2. Click the three dots next to their name.
  3. Select Unassign Manager Access.

Available for Teams Plan:

Once removed, the user will only have access to their own data rooms, shared files, and published documents.
